WhatsApp’s newly introduced document scanning feature for its iOS app revolutionizes the way users can manage and send documents efficiently. With this tool, you no longer need to juggle multiple applications; everything can be done seamlessly within WhatsApp. This guide walks you through the process of scanning and sending documents with ease using your iPhone.
Unlock the Power of Document Scanning on WhatsApp
Currently, the document scanning capability is exclusively available in the WhatsApp mobile app on iPhones, while iPad users can only access this feature via the web. Unfortunately, Android users do not yet have access to this functionality.
Before diving into document scanning, ensure your WhatsApp app is updated to the latest version. Open the application, navigate to your desired chat, and tap the + icon located in the lower-left corner.
From the available options in the pop-up menu, select Document.
Next, tap on the Scan Document option. You also have the ability to choose existing files or media from your device.
Point your phone camera over the document you want to scan, making sure it is properly framed. The app will automatically initiate the scan. If you want a more hands-on approach, you can press the Auto button at the top right to switch to manual scanning mode.
After scanning, you will be taken to an editing screen where you can make adjustments to your scan. Consider converting your document to Greyscale or Black & White options, as well as cropping or rotating it for better clarity. Once satisfied with your edits, tap Done.
You’ll then be redirected back to the scanning screen. Press the Save button located in the bottom right corner.
Finally, WhatsApp compiles your scans into a single PDF document, making it ready for delivery. Simply hit the Send button to share your document directly.
Easily Attach Scanned Documents to WhatsApp Messages
Not only can you scan new documents, but you can also attach previously scanned files to your messages. Start by composing your message in the chat, then tap the + button to attach your scanned documents.
If you’d like, you can also add text in the Add a caption field before sending your scan.
Your WhatsApp message can also include other types of documents, such as JPG images or files of various formats stored on your device. For this, select the Choose from files option while attaching your content.
If you are using Android, start by tapping the paperclip icon, select Document, and then you can upload your desired document or file easily.
Viewing Documents Received on WhatsApp
While the scanning capability isn’t available for Android at the moment, users can still view received scanned documents. Simply tap on the thumbnail of the scan in your chat thread to open it—this applies to both Android and iPhone users.
You can even annotate the opened scans! Just tap on the Pencil icon at the bottom to make any needed modifications and save the edited version on your device.
Android users will require a PDF viewer—or utilize Google Drive, which generally comes pre-installed on most Android devices—to view various documents, allowing for limited annotation capabilities.
Key Specifications Regarding WhatsApp Document Scanning
While WhatsApp has yet to specify limitations on the number of documents you can scan in one session, it’s inferred that the typical 2 GB limit applies here too. Through personal testing, I have scanned up to 20 pages without facing any issues.
All scanned documents are compiled into PDFs, and currently, there are no options for selecting alternative formats. It’s crucial to highlight that WhatsApp’s scanning functionality is fortified with end-to-end encryption, ensuring that only the sender and recipient can access the documents.
