Take Control During Screen Sharing in Teams for Web

New Screen Sharing Control Features in Teams for the Web

Members of the Teams Public Preview and Microsoft 365 Targeted Release can now enjoy enhanced control over screen sharing within Microsoft Teams on the web. This capability extends to all participants in the call, regardless of whether they are part of the Public Preview or Targeted Release programs.

Enabling Screen Sharing Control

For organizations to leverage this new feature, specific settings need to be enabled by IT administrators. For those in the Public Preview, it is essential to activate the “Show preview features”option within the Teams client. Meanwhile, for the Targeted Release, admins can manage access permissions through the Microsoft 365 admin center to designate which users can utilize these new capabilities.

Using the Screen Control Feature

Once activated, the process to take control during a Teams call is straightforward. Follow the steps outlined below:

  1. During a call, when another participant is sharing their screen, click on Take control > Take control of the presentation. Please note that the presenter must approve or deny your control request.
  2. After gaining control, you can modify the shared content, whether it’s editing a file or providing live demonstrations.
  3. To terminate screen control or transfer it to a fellow participant, click Release control.

Benefits of Controlled Screen Sharing

The ability to take control of screen sharing introduces numerous advantages. For instance, if sensitive information is mistakenly displayed, a participant can intervene to rectify the situation. Additionally, this feature enhances collaboration and efficiency, especially when one person needs to demonstrate content directly.

A Broader Rollout and Feedback Opportunities

Previously exclusive to Windows and Mac users, this screen control feature is now accessible on Teams for the web. As it remains in the preview stage, Microsoft is actively seeking user feedback to refine the feature. To share your thoughts, navigate to Settings and more > Feedback in the upper right corner of Teams, where you can Report a problem, Provide a compliment, or Suggest a feature.

As workplaces increasingly lean towards hybrid and remote models, tools like this enhance collaboration experiences, fostering an environment of greater productivity and efficiency.
