Enhancing Document Editing with Word Online’s New Copilot Feature

Microsoft’s Word Online, also known as Word for the web, is an invaluable resource for users looking to create or modify documents from virtually anywhere, without being tied to specific hardware. One of the standout advantages of this cloud-based tool is its free usage, providing a similar foundational experience to the desktop version of Word, albeit with some advanced features being notably absent. Recently, Microsoft has unveiled an exciting new functionality aimed at improving the user experience for those with a Copilot license.

Streamlined Proofreading Using AI

The latest upgrade allows users to harness the power of Copilot for comprehensive grammar and spelling corrections in a single action. This enhancement eliminates the tedious process of navigating through numerous suggestions manually. Instead, users can rely on Copilot’s advanced AI capabilities to efficiently proofread their documents.

How to Use the New Copilot Feature

To take advantage of this feature, start by highlighting the text that requires proofreading. A pen icon adorned with stars will appear on the left margin. Users can also activate the Copilot options quickly by pressing the Alt + I shortcut. This action opens a menu featuring several options, including:

  • Auto Rewrite
  • Fix Spelling & Grammar
  • Make Shorter
  • Make Formal
  • Writing Suggestions
  • Visualize as a Table
  • Chat with Copilot

After selecting “Fix Spelling & Grammar, ”Copilot will begin analyzing the highlighted text. Should you wish to halt the process, pressing the Esc key will allow you to cancel the operation. Once the suggested changes are ready, you can choose to Keep All modifications or Undo All based on your evaluation of the edits. Additionally, hovering over specific words or phrases allows for individual adjustments if needed.

Availability and Language Considerations

This new proofreading feature is particularly advantageous for users of Word for the web who have access to Copilot. Its rollout is currently underway for all customers holding a Copilot license, although it’s important to note that this functionality is presently available only for English language documents.
