Microsoft’s Upcoming OneDrive Backup Prompts: What to Expect

At the close of March 2023, Microsoft revealed its plans to encourage users to back up and sync their files to OneDrive. This initiative was detailed on the Microsoft 365 (M365) Admin Center portal, where the tech giant specified that “eligible”M365 users will soon receive these prompts.

In a bid to streamline data security, Microsoft is integrating backup functionalities into Windows 11 through a new migration tool within its dedicated Backup application. This move is part of a broader strategy to enhance file management and security for users.

Understanding the Benefits of OneDrive’s Known Folder Move (KFM)

To enlighten users and administrators about the advantages of using OneDrive’s Known Folder Move (KFM), Microsoft highlighted several key features that extend beyond the basic benefit of file backup. As outlined below, these advantages illustrate the comprehensive value of adopting cloud storage:

When users are enrolled in KFM, the files in their enrolled folders benefit from the advantages of cloud files:

  • Copilot Support: Files become Copilot-enabled, facilitating effortless access and utilization of the Copilot feature.
  • Easy Collaboration: Cloud files enable sharing and commenting, promoting collaborative work. With AutoSave, all changes are regularly updated and secured.
  • Access from Anywhere: Users can access their cloud files from various platforms, including Windows, Mac, web browsers, iOS, and Android, ensuring synchronization across all devices.
  • Enhanced Security and Compliance: Organizations can boost their security measures as all cloud files adhere to default classification, labeling, and protection policies.
  • Data Backup: OneDrive protects against data loss resulting from device failures.
  • Access to features like AutoSave and Version History.
  • Once enrolled, users can conveniently access their files located in the known folders via File Explorer or OneDrive.

Update on OneDrive Prompt Schedule

However, similar to other delayed features for Microsoft 365, including unified app management and the New Outlook changes, the timeline for OneDrive prompts has also been extended. A new message ID has been issued in the M365 Admin Center, indicating that the feature rollout will not occur until after June 2025.

Coming Soon: Eligible users will receive prompts within the Message Bar located below the toolbar in Microsoft Word, Excel, and PowerPoint for Windows desktops, encouraging enrollment in OneDrive Known Folder Move (KFM).Users can select which folders to back up to OneDrive.

Timeline:

Public Preview: Rollout will begin in mid-April 2025, with completion expected by late April 2025.

General Availability (Worldwide): Rollout is set to commence in mid-May 2025 (previously early May), with completion anticipated by mid-June 2025.
