To keep physical copies of your emails, you can print them (and any attachments) directly from Microsoft Outlook. You can do this using Outlook on the desktop, in a web browser, or through the mobile app. We’ll show you how.
Before printing, make sure you have a printer installed and configured on your device.
How to print an email from the Outlook desktop application
In Outlook on the desktop, printing an email is as easy as selecting the email and selecting the print option.
Launch Outlook and open the email you want to print to get started.
When your email opens, in the top left corner of Outlook, click File. Or press Ctrl+P (Windows) or Command+P (Mac). If you are using this keyboard shortcut, skip the next step.
On the left sidebar, click Print.
On the right panel, click Print Options.
The print window will open. Here, click the “Name” drop-down menu and select the printer you want to use. Then specify other options, such as the number of copies to print.
To print selected email attachments, enable the Print Attachments option. Please note that your attachments will only print on the default printer.
When you’re ready to print, click Print.
How to print an email from Outlook Web App
You can also print emails from Outlook Web App.
Launch your preferred web browser and open Outlook . Sign in to your account if you haven’t already.
Select a letter to print. Then, in the upper right corner of the letter, click on the three-dot menu and select Print.
You will see a preview of your email. In the top left corner of this preview, click Print.
Outlook will launch your web browser’s print dialog. Depending on your browser, print options will open on the right side of the screen or in a new window.
Here, specify the number of copies you want to make, select your printer, and any other options.
When you’re done, start printing by clicking “Print” at the bottom.
Your web browser will start printing the email you selected.
Print email from the Outlook mobile app
If you have connected the printer to your smartphone, you can use the Outlook mobile app to print emails without a computer.
To do this, first launch Outlook on your phone and select an email to print.
In the upper right corner of the email, tap the three-dot menu and choose Print on Android or Print Conversation on iPhone.
Then select your printer, specify print options, and select the printer icon (Android) or click Print (iPhone).
